On-campus Purchases
In many cases, materials can be purchased on campus. Most on-campus sources will accept the Capstone Campus Card.
BYU labs and resources are only for school projects and limited personal educational projects. University resources may not be used for business purposes or personal gain without prior written permission from the University.
To buy items on campus, follow one of the two procedures listed below.
Any purchase over $30 requires coach approval before the purchase is made, following this process:
- Create a Capstone Order Request by going to https://byucapstone.byu.edu/dashboard and clicking on “New Order”.
- Order Type should be “Shop at Store” and Delivery Method should be “In-Store Pickup”. Fill in the vendor, description, quantity, and estimated price of the material(s) you need. Rough estimates are sufficient, but you will be allowed to spend only up to the requested total, so estimate high if you are unsure of prices.
- Each order request should be for only one vendor. If items from multiple vendors are needed, place a separate order request for each vendor.
- Click the “Submit” button on the request. This will save the request and cause it to be sent by email to your coach for approval.
- Your coach will approve the request or return it to you for revision. After you have revised the request, it will be returned to the coach.
- Once the coach has approved the order, come to the Capstone office and check out a BYU Campus Card. You must leave your BYU ID card or driver's license as collateral for the Campus Card.
- After purchasing the items, bring the receipt and the Campus card to the Capstone office, where your BYU ID card will be returned.
For on-campus purchases less than $30, approval is not needed before making the purchase. Use the process below in this case:
- Come to the Capstone office and check out a BYU Campus Card. You must leave your BYU ID card or driver's license as a deposit for the Campus Card.
- After purchasing the items, bring the receipt and the Campus card to the Capstone office, where your BYU ID card will be returned.
NOTE: No reimbursements will be given for on-campus purchases. If you purchase with your own money you will be asked to return the materials and re-purchase them using the approved procedure.
Specific On-campus Vendors
BYU Store
The Capstone Campus card can be checked out from the Capstone office in exchange for your BYU ID card. This card provides a 20% discount on items purchased from the BYU Store. It must only be used to purchase team items, never personal items.
Chemistry Stockroom

Specify whether you will be purchasing chemicals or other supplies when checking out the BYU Campus card. Supplies can be purchased regularly.
Chemicals require a Campus card as proof of approval, but the Stockroom staff will call the office for more purchasing information.
ECEN Experiential Learning Center
Location: 416 CB
Hours: 8-5 M-F; closed for devotional
Method of purchasing: BYU Campus Card checked out from Capstone office.
Goods and Services:
- Electrical supplies available for purchase
- Workstations with tools available for students to do electrical and mechanical work
- Advice – ask for help and ideas in the design and build process
Additive Manufacturing Lab

Method of purchasing: Capstone Office Authorization Form
After speaking to a member of the BYU Additive Manufacturing Lab and receiving a quote for your desired service:
- One member of your team will submit a new online order in the Capstone purchasing system, listing the BYU Additive Manufacturing Lab as the vendor and providing all necessary order and quote information. Once coach approval has been given, the Capstone office will be able to process your request.
- Upon processing the request, the Capstone Office will contact the student and notify them when the authorization form is ready to be picked up in 344 EB.
- Your team member will then take the authorization to the lab staff. Note: If your team does not take the authorization form to the lab operator, your order will not be fulfilled.
- The final cost will then be entered into the Capstone website at the beginning of the next month, once it appears on the University financial reports.
- Once completed, the cost will be given to the school of Technology financial staff. They will bill your team budget using the authorization form method.
Hardware Bins and Stock Materials in PRL
Location: PRL (136 EB)
No purchase required.
Teams may use the components as needed for their project. Please be honest, and do not use these supplies for personal or non-Capstone projects. DO NOT use hardware or stock material from the ME Prototype Lab without following the ME Prototype Lab purchasing procedure.
ME Prototype Lab (Nick Hawkins's Shop)

Method of purchasing: BYU ID & team number. Note that charges from the Prototype Lab may not show up for more than a month after the purchase.
Teams can purchase materials that are in stock such as remnants, aluminum and steel stock, plastic, and fasteners.
For non-stock materials, the lab supervisor can help you prepare orders for materials needed for your project, but the order must be placed by the Capstone office following regular Capstone purchasing procedures.
Harold B. Lee Library Makerspace

3D printing, 3D scanning, and laser cutting are available at the Experiential Zone on the fourth floor of the HBLL. Your team budget can be charged by using a BYU Campus Card available at the Capstone Office. 3D printing or any transaction over $30 must be approved in advance by your coach.
Manufacturing Engineering Waterjet Cutter

- Your team member will then take the authorization to the Waterjet staff. Note: If your team does not take the authorization form to the Waterjet operator, your order will not be fulfilled.
- The final cost will be entered into the Capstone website at the beginning of the next month, once it appears on the University financial reports.
OIT Computer Rentals

Hours: 7AM to 6PM Monday-Friday, 9AM-3PM Saturday

Rent a desktop computer, monitor, keyboard, or other hardware for your project if needed. Coach approval is needed before making the rental. Each situation is somewhat different, and it is best to discuss your needs with the Capstone office before contacting OIT for information and pricing.

Method of purchasing: Telephone call from the Capstone office at checkout.
Buy hardware, paint, wiring, electrical connectors, and similar supplies that are used in maintaining the University's buildings and mechanical systems. They do not special order. Before going to the warehouse, let the Capstone office know you will be making a purchase. At checkout, the warehouse will call the Capstone office and get the correct account code.
As always, if the purchase is over $30, you will need to have an approved Capstone Order Request before making the purchase.

For purchases less than $30, give your name and Capstone team number to the PML staff and they will charge your team account.
For purchases totaling $30 or more, follow the procedure below:
- Contact the PML to get a quote and determine availability of products and services.
- Submit an online Capstone Order Request form to the Capstone office and wait for your coach to approve the request.
- After your coach has approved the request, come to the Capstone office to pick up a paper copy containing further approval from the Capstone office staff. Then take this approval to the PML so that they can begin the work.
- Once the work is complete, you should be able to pick it up, and your team will be charged for the work in the month that it is finished.
